Associate Condominium Manager

Role Overview:
The Associate Condominium Manager will work closely with the Property Manager to support all aspects of condominium operations including administration, communication, resident relations, and financial coordination. You’ll be a key point of contact for residents, Board members, contractors, and vendors, helping to ensure smooth and efficient building operations.
Key Responsibilities:
Administrative & Operational Support:
- Maintain accurate and up-to-date residents and owner records
- Prepare welcome packages for new residents
- Coordinate meeting logistics and compile Board packages
- Maintain digital and physical filing systems
- Draft and distribute professional correspondence and notices
- Issue and follow up on work orders; liaise with contractors and suppliers
Financial & Reporting Support:
- Assist with accounts payable/receivable and budget preparation
- Maintain financial documentation and follow up on arrears
- Help prepare documentation for audits and Board meetings
Resident & Board Relations:
- Respond to inquiries, requests, and complaints professionally and promptly
- Assist with enforcement of condominium rules and regulations
- Coordinate resident move-ins/outs and maintain key/access control
Qualifications:
- CMRAO Limited Licence (minimum);
- 2.5 + years of relevant condominium administration or property management experience
- Excellent communication and interpersonal skills
- Strong computer proficiency (MS Office Suite; familiarity with property management software an asset)
- Highly organized with the ability to prioritize tasks and meet deadlines
- Team player with a professional and proactive approach
